Privacy Policy
1. General
1.1. In this Policy Vetplan (“we”, “us”, the “Operator”) explains how we process the personal data of users of the Vetplan website and platform.
1.2. The Policy applies to data we receive through the website, contact forms, personal accounts, support channels and in performing the public offer.
1.3. The Operator processes data in accordance with the law of its country of registration (the Republic of Uzbekistan) and, for citizens of the Russian Federation, also taking into account Federal Law No. 152-FZ of 27 July 2006 “On Personal Data”.
1.4. By using the website and submitting forms, you confirm that you have read this Policy. If you have questions about how we process your data, write to [email protected].
2. Key terms
Personal data means any information that directly or indirectly relates to you or allows you to be identified.
Operator means a person or entity that processes personal data. When you visit our website, we become the operator of your personal data.
Processing means any action performed with personal data.
3. Your rights
You have the right to:
- access your personal data;
- have your personal data corrected;
- have your personal data blocked and deleted;
- challenge our actions or omissions;
- challenge decisions made solely on the basis of automated processing of your data;
- withdraw your consent to processing.
4. How to exercise your rights
4.1. Send a request to [email protected]. Please include: your full name (or your representative's), details of your identity document (type, number, issuing authority and date), information confirming your relationship with us (for example, the email of your personal account), and your signature or your representative's.
4.2. A request may be sent as an electronic document signed with an electronic signature.
4.3. We reply within 10 business days.
4.4. You may complain about our actions to the data protection authority of your country. For citizens of the Russian Federation, this is the regional office of Roskomnadzor.
5. Why we process your data
For the purposes below we may collect, record, organise, accumulate, store, update, retrieve, use, transfer (provide, give access to), block, delete and destroy your data. None of the data listed is special category or biometric data (Articles 10–11 of Law 152-FZ). Data is processed with and without automated means.
5.1. Sign-up of veterinarians
Data: full name, phone, email, city, education, qualifications, experience, profile photo.
Legal basis: your consent and the public offer.
Retention: for the term of the agreement, or until you withdraw consent, whichever comes first; if no agreement is concluded, 1 year after the application.
5.2. Orders and payment for the digital product
Data: accepted and completed orders, order prices, invoices and payments, monthly reports.
Legal basis: performance of the agreement under the public offer.
Retention: 5 years, as required by accounting and tax rules.
We do not receive or store bank card data. It is processed by the payment service on its secure page.
5.3. Client data in orders
Data: client's name, phone, address and description of the request as given in the request.
Legal basis: performance of the agreement; the legitimate interests of the Operator and the client.
Retention: for the term of the agreement with the veterinarian.
5.4. Support requests
If you contact us by email, Telegram or phone, we process your contact details and the content of your request.
Legal basis: the public offer; the legitimate interests of the Operator.
Retention: until the agreement ends or consent is withdrawn, whichever comes first, and up to 3 years after the reply for possible claims.
5.5. After consent is withdrawn, we may continue processing where the law allows it without consent (for Russian citizens, items 2–11 of Part 1 of Article 6 of Law 152-FZ). When retention periods end, data is destroyed by deletion from our information systems.
6. Sharing and cross-border transfer
6.1. We share data only where needed for the purposes above: client data with the veterinarian for an accepted order; payment data with the payment service; with hosting and email providers to the extent needed to run the website; with public authorities on lawful request.
6.2. The Operator is registered outside the Russian Federation, and the website and platform servers are located in the United States of America. By providing data to the Operator, you agree to its cross-border transfer to these countries.
7. Cookies and website analytics
7.1. Cookies are small files saved on your device when you visit a website. They let the website recognise your device.
7.2. By purpose, cookies are:
- necessary: make the website work, for example page navigation and access to the personal account;
- statistical: help us understand how visitors use the website, collected anonymously;
- marketing: track visitors across websites to show relevant ads.
7.3. At present the website uses only necessary cookies. If we add statistical or marketing cookies, we will update this section and ask for your consent first.
7.4. When you visit the website, our servers and security systems automatically record technical data in log files: IP address, approximate location (city), device, operating system, browser and their versions, browser language, time zone, and pages viewed.
7.5. The website loads fonts from Google Fonts, so your IP address is passed to Google when the page opens.
7.6. You can refuse cookies in your browser settings. Some features may then stop working.
8. Personal data of minors
The website and platform are not intended for persons under 18. If you believe a child has given us personal data, please let us know at [email protected] and we will delete it.
9. Data permitted for publication
With the veterinarian's consent, we publish their profile (name, education, qualifications, experience, photo) on our website and partner websites. For this data, transfer to and processing by an unlimited number of persons is not prohibited, and it may be transmitted over telecommunication networks. A veterinarian may restrict or prohibit this at any time by writing to [email protected].
10. Data security
We treat personal data as confidential and protect it from loss, alteration and unauthorised access. We use encrypted connections (HTTPS), restricted staff access, secure password storage, backups and server access control, and we keep improving these measures.
11. Changes to this Policy
We may change this Policy at any time. The new version applies from its publication on the website. Please check this page regularly for updates.
